It shows what it has taken to recover the evidence now in the Evidence Library: requests refused as “not held”, records found but withheld as “out of scope”, requests renumbered or proposed for closure, official email addresses that bounce, and files said to be “most likely destroyed” with no record of destruction. 🕒

At a glance

Body What was asked for Result so far
Amgueddfa Cymru – Museum Wales Records of the 19th-century find in the farmhouse; farm contents; everything indexed to the farm Two refusals (“not held”), both upheld on review. Records it had already found were released only after a new request number, 57 days after the first request. The third request (FOI 2026-036) was answered on 5 October 2026 with the Church Farm records, accession 63.24 (GHF-E106-R33; evidence A1, A2, A3). 🕒
Cadw / Welsh Government 1988 listing file and correspondence Two 1988 photographs released. The rest “most likely destroyed”, but no destruction record exists. Emails to Cadw’s general addresses failed to deliver at least eight times. Formal complaint in progress.
HM Land Registry First-registration files; correction of the register Both complaint stages refused. Schedule of 43 file documents released after six months. The 1969 root deed is not on the file.
Vale of Glamorgan Council Planning, heritage and council records Partial disclosure. Three planning appendices missing. Several requests and a complaint still open. 🕒
Royal Commission (RCAHMW) Archive and accession records Holds archive items but no accession data. A record for the site filed under the wrong place. Searches delayed by staff shortages.
Other archives and courts Deeds, court files, minutes, case files Mixed. Some bodies were helpful. Others redirected the request elsewhere, or treated a court-records request as a personal data request.

What it records: the exchanges in the table below, from the family’s copies.

Date From What happened
2 Jul 2026 Family Freedom of Information (FOI) request to Cardiff Council, copied to the Museum and others, for records of furniture and household contents from the farm.
13 Jul Museum Asks whether the request was meant for the Museum as well. The family confirms the same day; it becomes FOI 2026-020.
27 Jul Family FOI 2026-024: records of the reported find under the farmhouse dining-room floor (soldier, horse, visor, lance), its accession, reburial and any report.
27 Jul Museum Acknowledged; reply due around 24 August.
3 Aug Museum 2026-020: “not held” (FOI s.1(1)(a)). The family asks which systems and search terms were used. 🕒
14 Aug Museum Describes the searches, and says they found “some information relating generally to Great House Farm“, which it treats as out of scope. The family requests an internal review.
25 Aug Museum 2026-024 refused as “not held”. The same letter says the searches found records of other archaeological discoveries at Great House Farm and Church Farm, withheld as “not in scope”. (The Church Farm records were released on 5 October 2026: GHF-E106-R33-A1 to A3.) 🕒
26 Aug Family Asks for an internal review of 024: the search was limited to medieval armour, not the site. Asks for the records already found, including the recorded basis for calling them “unrelated” (item 7).
26 Aug Museum Accepts the review, but puts the request for the already-found records on a new number, FOI 2026-032, due 23 September.
8 Sep Museum Internal review of 2026-020 upheld: no furniture records; the few general records about the farm are out of scope.
8 Sep Family FOI 2026-036: a full schedule of everything indexed to the farm, and earlier registers (1875–1915) for ironwork from the house, which published reports say the Museum holds.
8 Sep Museum Proposes closing 032 and folding it into 036 “unless we hear to the contrary”.
8 Sep Family Objects: keep the review of 024, 032 and 036 separate.
8 Sep Museum Agrees; 032 stays open.
22 Sep, 10:24 Museum Review of 024 upheld. The site search was “reasonable”; broader terms such as horse, burial and skeleton would be “disproportionate”.
22 Sep, 11:42 Museum 2026-032 disclosed: Portable Antiquities Scheme spreadsheets and links to published 1994 cemetery papers, with personal data redacted. Not answered: item 7, the basis for “unrelated”. The pack includes a record for a different Great House Farm, at Llandough near Cowbridge.
22 Sep Family Thanks the Museum, points out item 7 is still unanswered, and asks for the 036 date.
28 Sep Museum Says a response to 2026-036 is aimed for 6 October (R17).
5 Oct, 14:04 Museum 2026-036 answered (GHF-E106-R33). Two further records reported under the farm’s names, neither yet shown to be this farm: Ref 13.2, a waterwheel collected from Llandough Farm (a separate farmstead) on 1 April 1979, never accessioned and since deaccessioned; and MS 3360/3, the 1924 “Llandough Estate” sale particulars with a page headed Great House Farm (already supplied under 032), which may be the Great House Farm at Llandough near Cowbridge. Both are marked location unconfirmed: see the R33 location check and The Two Parcels. For Church Farm, accession 63.24, with three attachments: a letter of 22 November 1931 (A1) and the records for a medieval rowel spur (A2) and spearhead (A3), recorded as found at Llandough Church Farm about 1858. No 1875–1915 register entry and no further ironwork from the farmhouse floor, rear wing or dairy identified. 🕒
Research note. Folding 032 into 036, as the Museum proposed on 8 September, would have restarted the clock on records found in August.

6 Feb Family Report to Cadw’s scheduled monuments team.
25 Feb Cadw Most of the concerns are outside Cadw’s remit. No designated assets are recorded. Points to the Royal Commission, Heneb and the Vale council.
9 & 17 May Family Further emails; cadw@gov.wales bounces again, as do two ministerial addresses.
21 May Cadw Listed Buildings The farm and barn were assessed and rejected for listing in the 1988 survey. Two photographs dated 29 July 1988 are released; their “YYY” code means “marginally below the bar”. No other electronic records. Paper files are “quite likely” destroyed; a search is promised.
1 Jun Family Formal FOI request, ATISN 27021: eight categories of listing records.
11 Jun Cadw Response: the two photographs and a 1990 archaeological report. The family requests an internal review the same day.
2 & 10 Jul Cadw review The 1988 file has “most likely” been destroyed. No destruction record exists; the statement rests on a records officer’s experience. Only the two photographs survive.
29 Jul Cadw review No further information; the family may complain to the Information Commissioner. 🕒
10–14 Aug Family Sends a report on Cadw’s handling; acknowledged.
27 Aug Cadw Chief Inspector Everything held has been released. Cadw cannot say what its retention arrangements were 38 years ago.
29 Aug Family Follow-up; cadw@gov.wales bounces again.
4 Sep Cadw Chief Inspector Nothing further to add; refers the family to the Welsh Government complaints process.
17 Sep Family Formal stage-one complaint sent to cadw@gov.wales: blocked. Cadw’s public enquiry line forwards it to the complaints manager on 18 September.
20 & 22 Sep Family Complaint re-served directly on the Chief Inspector, then a supplement.

Emails to Cadw’s general addresses (cadw@gov.wales and its old wales.gsi.gov.uk address) failed to deliver at least eight times between January and September 2026. See also 1988: Possession and demolition.

Catalogue: GHF-E106-16

Location: Family archive / privately held correspondence; records identified at The National ArchivesFOI correspondence The National Archives FOI response concerning Great House Farm / Tŷ Mawr, received 23 September 2026

What it records: the family’s correspondence with The National Archives about the existence, provenance, transfer, retention, destruction or disposal of records relating to Great House Farm / Tŷ Mawr, associated companies, litigation, central-government records, the National Farm Survey and the Glamorgan War Agricultural Executive Committee.

Period / date From What happened
18 Feb–3 Mar 2026 The National Archives Initial response: no relevant records identified from the limited search described; the Manorial Documents Register return for the Manor of Llandough (HMC9/311) was identified.
13 Aug 2026 Family Asked TNA to reconsider the scope: the enquiry deliberately named corporate bodies, litigation, registration, campaign, demolition, Cadw, ECHR and archival-transfer issues rather than relying only on property-name keyword searches.
20 Aug 2026 Family Expanded the request to Glamorgan War Agricultural Executive Committee / War Ag and National Farm Survey material, including possession, requisition and compensation records.
2 Sep 2026 Family Clarified that the request concerned recorded information about existence, transfer, retention, destruction or disposal, plus National Farm Survey and CWAEC records, rather than an open-ended research exercise.
23 Sep 2026 The National Archives Following the broader search, TNA identified an open judicial record, transfer paperwork, release schedules and a manifest; it also identified the National Farm Survey and Glamorgan Agricultural Executive Committee records as relevant archival collections.

What the later search identified

  • Judicial Papers A-C 1-63 — House of Lords as court of appeal, connected with BP Properties Ltd v Buckler. TNA catalogue record →
  • YHL/PO/JO/10/11/2536 transfer paperwork — TNA confirms it holds transfer documentation for the judicial series.
  • Release Schedule: On Discovery — records a release date of 20 May 2026.
  • Release Schedule: High Level Delivery Schedule — records the planned May release.
  • Collect 27 Series 11 Spreadsheet: Manifest — manifest received from the Parliamentary Archives.
  • National Farm Survey, 1941–43 — TNA says records of the farm are likely to exist in this series, although the records cannot all currently be searched online by farm name.
  • Glamorgan Agricultural Executive Committee / War Ag — TNA confirms that minutes and papers for Glamorgan exist, but a farm-name search would require archival research beyond the online catalogue.
  • Manorial Documents Register, HMC9/311 — TNA identifies the Llandough manor return and confirms the underlying records are held at other repositories, not TNA.

Discovery date — important distinction. TNA’s email states that parliamentary records were loaded into Discovery in phases and that the series containing this record was released on Discovery on 20 May 2026. That is the catalogue/Discovery release date. The catalogue entry does not say beside the BP v Buckler case that it was “discovered” in May 2026, and the May date is not the creation date of the 1987–88 papers.

The MOD states that its searches across MOD archives and targeted searches in the Army Secretariat and Counterterrorism and United Kingdom branches did not locate information matching the request. Separately, it neither confirms nor denies whether it holds Special Forces-related information under FOIA 2000, section 23(5). The review acknowledges delay and concludes that timeliness requirements were not met, without clearly identifying in its concluding paragraph which stage caused that finding. It says personal-information elements were referred for a separate subject access process.

Interpretive control: this is a dated record of the MOD’s statement, not proof that relevant historical records never existed or that military personnel were or were not involved. Keep FOI2026/09190 distinct from FOI2026/09019 unless the MOD confirms a relationship. Do not mark the subject access strand complete until its reference and substantive outcome are recorded.
